Hi Coaches,
 
Thank you for coaching CYO this year.  You all do a wonderful job and the parents and kids appreciate it!  28 teams this year + 4- 3rd grade teams.  
 
A lot of info for you!  Hopefully all coaches I know are on this list.  If you see someone who should be, let me know. Please mark everything in your calendar, especially days that are conflicts with Kent.  Print this email - lots of details.  3rd graders ignore CYO league info.

 

MOST IMPORTANT:  
1.  KENT has first priority ALWAYS to the gym and MP room.  If they are practicing or in there do NOT let your players in the gym/mp room distract or disrupt them.  We will loose access to the gym and MP room.  Bob is negotiating practice times to start at 5:45 pm and not 6:00 pm and 5:15 pm in the MP room.  They don't want us in there until 6pm.  You will loose privileges if you do not cooperate.  It's not fair to all the teams that do.  In January, Kent practice get kicked out of the gym and go to the MP room - You MUST let them use that time, even if it is your practice time.  You will need to go outside on the outdoor courts.

 

2.  Volleyball nets in gymThe volleyball nets need to be taken down in an organized fashion by the first teams in the gym and put back up by the last team in the gym.  If you are not practicing YOU need to let the team before you know and they will need to put the nets back up. You will receive a roster with emails and phone numbers.  Kent has a volleyball section until 12/1.  Ugh...I know, but nothing we can do about it.  There is a tool on a blue cart and you use that to tighten/crank the nets back up ... the pads on the polls must be put back on and the baskets back up!  Always a good idea to bring a wrench or keep one with you in case the tool isn't there!
There are 3 poles - you pick them up at the same time with 3 people and set them neatly along the east wall of the gym - the length of the sideline at the wall.  You put the nets along the wall so the kids don't trip on them. DO NOT TANGLE the nets. Put  them back up where they go -  you will need a wrench to tighten. On the blue cart they keep a tool to crank the nets.  

If the nets don't go up correctly or you forget to put them up they will not let us use the gym.  I can not stress the importance of the nets get back up neatly and organized.  The baskets need to be put back up and garbage cleaned.

c.  Fob to Gym/MP room - No key and no cost.  Gym still needs basket keys - $100 deposit check to pick up keys.  

     Pick up at the Kentfield School District - (415) 458-5130 - 750 College Ave.  Pick up after Friday. Closed Weekends.
 

d.  Ball bag with 4 balls, scorebook, 2 icepacks and first aid kit.  4 balls is all St. Sebastian provides.  Pick up at T & B sports in San Rafael after Friday (see Tim) 1345 4th Street, San Rafael - 415 453-2433.

 

e.  Uniforms - Purchase at T&B Sports(Parents pay for the uniform-if have one from last year you can use that) - 1345 4th Street, San Rafael - 415 453-2433 Coach coordinate numbers so you don't have duplicates.

 

f. Fingerprinting - All NEW coaches(assistants and head) that have not been fingerprinted (Live Scan) in the past must get fingerprinted  as a background check.  You must also take an online test.  More info to follow later this week or next.

Fingerprinting - Go to the marincyo website and go to coaches. Correct form attached to this email. Games will be forfeited if coached by anyone who has not been fingerprinted. St. Sebastian CYO will reimburse you for your fee of approximately $40. Remit receipt to Bob McCullough   . Here are a few places you can go. The CYO Coaches clinic is 11/22 and mandatory for all new coaches.  Optional for others.  Exact times TBD - I will update you when I have the times.
 
1)  All coaches MUST get fingerprinted if you have never been finger printed before.  This includes assistant coaches that will be on roster.  There will be fingerprinting at the clinic.  I believe there is a $40 cost.  Usually Bob reimburses - please email him direct and you can cc me - stsebastiancyo@gmail.com.
 
2)  You will also be required to take an online course(EVERY 3 YEARS) - takes 45 minutes - Shield the Vunerable - You will need directions and I will email soon.  
 
3)  Tournament reimbursements go to Bob McCullough.  I DO NOT have access to funds or the St. Sebastian email - stsebastiancyo@gmail.com.  Please cc me on all emails.  I imagine you will not be reimbursed until the Paypal situation is resolved.
 
4) When in doubt or have questions, google - St. Sebastians CYO in Kentfield or CYO Marin - both sites have a lot of good info. to answer your questions.  I have emailed links previously numerous times.
 
5) If there are any gym conflicts or problems please let me know about them.  I prefer to hear about them from you first, rather than Kent.

Hi Coaches,
 
As you know the volleyball nets are up in the gym.  Not ideal, but something we have to deal with until 12/4.  There is a certain way to take the nets down and a certain way to put them back up.  Friday and Saturday practices do NOT need to put the nets back up.  Sunday last practice does need to put the nets up.
 
You need to put the volleyball nets back up.
All baskets need to be put up also.
I tried to get Kent as tutorial.
 
**Bring a wrench - the wrench that can adjust.  They say they leave one out but it's never there.
1.  Posts get placed in the holes.  The nets should all be connected
2.  The blue attachment line needs to go to the outside on the poles.
3.  Middle pole is the one that looks like it has attachments on both sides.  They should have left it in the correct spot on the sideline so you can just put it back up.
4.  Get the net strung up.
5.  Tighten the blue straps with the wrench.  It will crank.
 
These directions aren't too good, but the best I can do.

The volleyball nets need to be  taken down.  
1.  Need a wrench -  the one that adjusts
2.  Use the wrench to unloosen both posts on each side. Also take pads off.
3.  Once loose, remove the 3 posts at the same time and walk toward the sideline (longest side)
4.  Put the posts and nets in nice, neat order where the players won't trip etc.
5.  The nets should still be connected and easy for the teams to put back up.
6.  Leave down for last group to put up.
 
1) Baskets must go up:  The last team must put the baskets back up.  I heard a PE teacher said you don't, until I confirm with the AD, please put the baskets back up until 12/4.
 
2) Put nets up:  Get them from the position they are in on the ground.  One person per pole.  Put them back in the holes and you will need to tighten the nets and figure out how to do it with the wrench.  The nets need to be tight.  Then all pads must be put back on the poles. And, baskets put up.
 
If you are the last team in the gym and you are not practicing, you need to let the earlier teams know so they can put the nets back up. 
 
If we have problems, Kent will take the gym away from us.
 
3) GYM/MP room conflicts - NO practice on these days - or ask someone if they will share the other facility with you.  Lets work together.

Practice is almost here, beginning November 2nd!  I'll assist in collecting practice times in the time blocks and then forwarding to Bob so that he can make the practice schedule.  Younger teams will be in the MP room and at times the older teams need to go there as well.  Send me your preferred days & times during the week and weekend based off your games - look at website for game days.
 
Please understand that the the gym and MP room are very limited in our use and Kent ALWAYS has first priority.  Although Bob works his magic with the schedule it is impossible to give you all your ideal times, so you will have to work together to make it work.  Older teams have later times and younger teams early times.  That means that 8th graders and some 7th graders will go from 8:15 - 9:30 pm.  Not ideal, but a must.

  • Practice - Will begin the 2nd week of November.  Please email Bob at for preferred times. He is putting together the schedule.  Gym space is very tight.  He will do his best to accommodate.

    Holiday schedule - Coach John Evershed will put together a google calendar for holiday practice schedules during vacation times. Your regular practice stands unless you change the time and request a practice time in the morning etc.  If you are not using your practice time please email all coaches (reply all) so they can use your time.
     
  • Fingerprinting - Form attached. All NEW coaches(assistants and head) that have not been fingerprinted (Live Scan) in the past must get finger printed.   •  Shield the Vunerable Training Course - ALL COACHES must complete the online course every 3 years - Protect the children training course 706.  I did it in 30 minutes. To complete the Protect Children training course ($5 to be billed directly to the program), COURSE 706,  go to: http://athletics.cccyo.org/documents/shieldinstructions.pdf.  Its a bit tricky.  I think this will help for inputting Shield information.  I worked through it with a coach last year.   Directions: 1.   • Rosters Due:  Friday 21-Dec - More info. to follow.
  • Keys - Head coaches pick up your key from Kathy Kress at 415 458-5131  at the Kentfield Schools District Office at 750 College Ave., Kentfield, CA 94904.  Right next to Kent Middle School. You must give a $100 deposit check made out to the Kentfield School District and let Kathy know if you need MP room or gym keys.  Keys need to be returned after your last game - deposit checks will be cashed April 1. 
     
  • GYM/MP Rules - We are very fortunate to have the Kent gym and MP room for our use with CYO.  Please be considerate and leave the bym clean, locked and well taken care of.  We are on a tight time schedule so ALL teams immediately need to leave the court when practice ends at the stated time so the next team caon begin their practice on time.  Teams waiting for practice should wait in the lobby.  MOST IMPORTANT: "As a Coach". the gym an multipurpose room keys are your responsiblility.  These keys should not be lent out to anybody NOT authorized to use the Kent Middle School Gym and Multipurpose" room.  Anybody NOT authorized to use the facilities will be condisered trespassing and are subject to "trespassing" legal ramifications.  -NO DOGS, NO FOOD, NO DRINKS - Water only, Clean up ALL garbage in gym before you leave.  Double check to make sure all EVERY door is closed tightly and locked when you leave even if you think another group will follow.  There will be a fee charge for every time the sheriff calls the custodian to come and lock up on the weekends. **Please note:  School activities take precedence on facilities use - If you arrive and a school activity is in progress please wait outside until they finish
     
  • Balls - Go to T & B Sports 415 453-2433 at 1345 4th Street, San Rafael and ask for Tim. You might want to call ahead to make sure everything is there and ready to pick up.  Included in your ball bag should be: 4 balls, scorebook, 1 ice bag, first aid kit.  Some ideas: I always purchase extra balls, colored pinnies and a coaching board with basketball court. 
     
  • Uniforms - Parents need to have their child fitted for a uniform (shorts & jersey) at T&B Sports,  415 453-2433 at 1345 4th Street, San Rafael.  Parents pay for the uniform. You will need to coordinate numbers so you have no duplicates.  We asked last year if they could have any number and the answer was yes.  Technically in basketball each digit does not go above 5.  So, 55 is ok but 57 is not in college and high school basketball.  CYO allows numbers of all digits.
     
  • Uniform exchange program - Beth Gonzales leads the uniform exchange program.  Each player is responsible for their own uniform.  They can use the uniform exchange program or purchase a uniform at T&B. It is your responsibility there are no duplicate numbers on your team.   It has been wonderful program  The program that Beth offers is to help families and be able to reuse uniforms instead of having to buy new ones.  If you have a uniform your child has outgrown you can drop that off.  Beth will set a day and time she will be available.  This is a great way to recycle the uniforms and save some money. More info to come.
     
  • League start -  January 3rd & 4th.   School is still out until Monday, Jan. 5th.  The
    League begins before school back in. Each team must provide a scorekeeper with scorebook for every game and please remember the substitution rules.  Each player must play a minimum of 4 consecutive minutes per half.  Each quarter is 8 minutes.   Team prayer is to be read before each game and should be on the Marin CYO website.
     
  • Bye week - February 14th and 15th
     
  • Playoffs - Go to Marin CYO website for more acurate info. The first playoff weekend for all teams involved in leagues with more than 1 division is March 7 & 8. The semi-finals will take place on March 14 and the finals on March 15.    If we need to play extra championship games for single division leagues they will take place March 17-19.
     
  •  Regular days teams play - Schedules on Marin CYO website between Dec. 8 - 12th.
